Tenant Information

Keep Properties would like to assure our prospective tenants that all of our properties advertised comply with regulated safety standards and are of a good state of maintenance and cleanliness. Tenancy deposits will be treated in accordance with Government Tenancy Deposit Protection regulations.

We offer good local knowledge, friendly advice & flexible viewing times to fit in with your work schedule.
Once you have found a property you would like to proceed with we will require a holding deposit of £250.00 - £500.00 depending on the rental price of the property to remove it from our list of available properties. This figure will then later be deducted from the first months rent. However, if you then decide not to proceed or fail to provide complete & accurate information on your application, the holding deposit will not be refunded.

Keep Properties require one written reference from each tenants previous landlord & one from their current employer. We also work in conjunction with an accredited referencing company. In some circumstances, we may also require a personal reference and sometimes a guarantor. Homeowners will be required to provide their latest mortgage statement.

There will be an administration fee of £175.00 per person charged to all tenants to cover the cost of references, drawing up the tenancy agreement & legal notices. A company let will be charged £325 administration. Again, unfortunately this fee is not refundable should you withdraw from the tenancy application or should we receive unsatisfactory references.

A security deposit of six weeks rent is required, payable preferably by bank transfer or if necessary bankers draft or cash. All monies must be cleared 5 working days before the tenancy commences to ensure transfer to the landlord & to the Deposit Transfer Scheme. It has been mandatory since 2007 for any deposit taken to be legally protected by an insurance or custodial based scheme. Keep Properties are registered with the Deposit Protection Scheme. The landlord may choose to hold the deposit in an alternative government regulated deposit protection scheme & we will inform you which option your landlord has chosen and send a copy of the certificate on to the tenant within 14 days of receipt of the deposit. There is no cost to the tenant & you will be able to check your deposit on line. The deposit is held to cover damage, breakages and any other liabilities under the terms of your tenancy agreement and will be returned at the end of the tenancy providing there are no disputes. Under no circumstances may the deposit be used by the tenant to cover rent.

A tenancy agreement will be drawn up for a minimum period of 6 months. The signing will take place in our office at St Edmunds House, 13 Quarry Street, Guildford, GU1 3UY. We will then meet the tenant for a check in at the property to hand over the keys, inventory & landlords information. This ensures any questions can be answered immediately and protects the tenant & landlord, avoiding dispute at the end of the tenancy. The inventory will be drawn up professionally and a fee relative to the size & content of the property charged to the landlord.

Rent is paid one month in advance by standing order from one bank or building society account. Tenants are required to complete a standing order form at the time of then tenancy agreement signing. Keep Properties strongly advise all tenants have their contents insured prior to commencement of the tenancy. We will be very happy to advise on the different insurance policies for tenants from contents, landlords contents & personal possessions. Tenants will be expected to pay for all utilities for the property (e.g. gas, electric, water), council tax & telephone/broadband.

Where tenants & landlords agree to the extension of a contract, there will be a charge of £65.00 to cover the tenants share of preparing documentation for each & every extension & renewal. At completion of the tenancy the inventory will be checked. A charge of £75.00 will be payable by the tenants to cover their share of the cost of administration and check out.
